Job Summary: This position manages a wide range of duties including dealing with the public, providing administrative support for all staff and assisting in managing and maintaining records.
Public Assistance
*Greet the public and answer questions.
*Answer main telephone line, address questions and follow up on all telephone messages.
*Help people who are seeking assistance.
*Be knowledgeable and provide resource & referral information.

*Work closely with the United Way program coordinator in assisting clients
*Assist clients with the intake process
*Collect data required by the grant and input data into the computer
*Assist the program coordinator in making client referrals
*Assist the program coordinator in making follow phone calls with clients and partners
Files Management
* Assist the financial manager in maintaining all files
*Assist the financial manager in copying and filing check donations
*Assist the financial manager in filing invoices and check stubs
*Assist the CEO and financial manager with filing letters, agreements and other documents
*Assist the CEO, financial manager and other staff in filing correspondence
United Way
*Assist with annual campaign activities e.g. copy promotional materials, develop & copy pledge cards, copy contribution checks, and assist with mailings.
*Assist in maintaining records for the Giving Card program
*Assist with the program coordinator and other staff with all United Way programs
Scholarship
Activities:
*Assist staff in processing scholarship applications
Miscellaneous
Duties:
*Assist in preparing board meeting packets.
*Assist in ordering and picking up Board lunches.
*Assist and maintain office inventory (supplies)
*Clip and file newspaper articles pertaining to community organizations and FDCF/UW.
*Assist with special events.
*Maintain obituary spreadsheet.
*Type documents upon request.
*Help coordinate letters and mailings
*Update and maintain the
fortdodgeresources.
com website
*Assist other team members with miscellaneous duties when asked
Qualifications:
Must have good typing/computer keyboarding skills, be proficient with all Microsoft Office Word software. Knowledge regarding the Internet, social media and website programs is beneficial. Must have good organizational skills and the ability to manage multiple tasks during the day. Must have strong communication and interpersonal skills and be able to interact with the public in a positive and professional manner. Must be a strong team player willing to help other staff. Must be flexible and willing to learn new skills and responsibilities.
Education and
Experience:
Must have a minimum of a high school degree and four years of experience in office management or other related positions.
Working
Conditions:
The administrative assistant works in a professional office environment and is not exposed to adverse environmental conditions. Work is sedentary in nature. At times, may lift or move objects of 10-20 lbs.
